The following quotation guidelines are provided for suppliers planning to submit a response to Requests for Quotation (RFQs) issued to the Optical, Geospatial, Radar, and Elevation Supplies and Services Panel (OGRE).
What is a Request for Quotation?
A Request for Quotation (RFQ) is a formal invitation to industry to provide a response in relation to the provision of goods and/or services required by Geoscience Australia or another OGRE User.
Read the RFQ documentation thoroughly. RFQs are often complex and skimming the documentation may mean you miss important details.
Ensure you can meet the Statement of Requirement. The Statement of Requirement is derived from a genuine need for goods and/or services. If you cannot meet the requirement your submission is unlikely to be successful in winning the tender.
Check the Conditions for Participation. Unless your submission meets the conditions for participation it will not be considered. Conditions may include qualifications, licenses, and insurance arrangements. They may also include legislative requirements or risks that Geoscience Australia or the OGRE User needs to be mitigated.
Ensure you have relevant experience in supplying the goods and/or services.
Check the closing time. Each RFQ is advertised for a set length of time, if you plan to make a submission ensure it is supplied within the specified timeframe.
Significant effort is put into developing the RFQ and Approaching the Market. A clear, professional response that provides the information requested is expected.
Government tendering is competitive. Your competitors will put in the effort and so should you.
Make sure your response is compliant. Read the RFQ documentation and Conditions for Participation thoroughly. If your submission is non-compliant it will not be considered.
AusTender (www.tenders.gov.au) is the central web-based facility for the publication of Australian Government business opportunities, annual procurement plans, multi-use lists and contracts awarded.
Geoscience Australia publishes all OGRE procurements on AusTender.
To respond to RFQs published on AusTender you must register. Check your email address is correct on your registration. Addendum notifications will be sent to this email address. If you have received the RFQ documentation from a third party you must still register on AusTender if you wish to seek clarification or submit a response.
Take note of the file formatting requirements and any instructions in the RFQ and on the AusTender website.
Certain timeframes such as the closing time must be adhered to. Submissions received after the RFQ closing time will not be considered.
Where timeframes are indicative they are for guidance only, however Geoscience Australia will endeavour to meet specified timeframes.
